A week ago I changed my office voice mail message forever.
New Message for 2015:
Hi this is (Insert Your Name Here)
Thank you for your call!
In order to serve your needs in a more effective manner,
please consider sending me an email message instead of leaving a message here.
I am frequently away from my desk for meetings at work and
outside the office and I want to address your needs more efficiently.
My email address is (Insert Email Address Here) that’s (Spell it out and say it- b o b (at) company name (dot) com)
Thanks for your call and cooperation.
This new message allows me to never have to change it going forward. Think about it. Even on vacation, don’t many of you still read your emails. Isn’t it easier to manage your communication better by telling people how to better get a hold of you. How many of you have left voice messages only to have them never returned. Frankly, voice mail is a lot of time and work because you must listen to a message, write down the request and hopefully write down the phone number correctly. A very time consuming approach.
Since I made this change, my voice mail numbers have gone down significantly and I have saved time and energy managing a phone log. Some people will say, I should just switch everything to my cell phone. The goal here is to get people to send their messages to me, I don’t want to transfer voice mails from office phone to cell phone. Focus on the real time savings and look for more technology to replace technology going forward.
